The purpose of this job is…..

The Personal Assistant plays a pivotal role in keeping the Finance Leadership Team operating at its best. You will provide a high level of professional administrative support to multiple Finance Directors within the Finance Leadership Team, ensuring an efficient, organised working environment and assisting with key deliverables.

 By managing priorities, streamlining communication, and maintaining smooth day‑to‑day operations, this role helps to create the structure and clarity that allow senior leaders to focus on strategic decision‑making and high‑impact work. 

Key responsibilities include:

  • Managing complex calendars, coordinating meetings, and preparing agendas, background materials, and action items.
  • Serve as a key contact for internal and external stakeholders, including managing and prioritising emails, correspondence, and mail.
  • Preparing presentations, reports, spreadsheets, documents, and ad‑hoc materials, ensuring accuracy and quality.
  • Delivering timely and accurate administrative support, including:
  • Invoice management: raise purchase orders, process payments, track approvals, and maintain records.
  • Expense management: reconcile corporate cards and process reimbursements monthly.
  • Travel management: book travel in line with policy requirements.
  • Event management: coordinate team events, catering, venues, and logistics.
  • Recruitment support: manage onboarding and offboarding for Finance team members.

  • Providing additional support to other Finance Directors and teams when capacity allows, contributing to efficient operations and a consistent working rhythm.
  • Collaborating with the wider administration team and the Executive Assistant to support the effective running of the Finance function.

What you’ll need to make it possible

  • 3+ years demonstrated experience providing personal or team assistant support at senior manager level or above
  • Proven ability to meet strict and conflicting deadlines in an organised manner
  • Proactive problem solving and continuous improvement abilities
  • Professional presence with strong interpersonal and relationship‑building skills
  • Strong stakeholder management, able to engage confidently across all levels
  • Sound judgement, confidentiality, and discretion when supporting senior leaders
  • High attention to detail and reliable follow‑through
  • Comfortable working in fast‑paced, evolving environments
  • Willingness to take on projects and learn new skills
  • Advanced calendar management in Microsoft Outlook; intermediate Word, Excel, PowerPoint and MS Teams
  • Experience with Coupa for invoicing and procurement is preferred, but not required
  • Accurate and detail‑focused word processing
  • Ability to troubleshoot general technology issues across Windows and Apple systems
