In this role, you will primarily be responsible for coordinating the onsite operational effectiveness for our new APAC Campus, enabling an outstanding experience for all learners, facilitators, and visitors. You’ll have an impeccable eye for detail ensuring the campus is equipped with the tools and resources required to welcome learners both in person and remotely.

You will be passionate about streamlining operations and increasing efficiency to enable outstanding learner experiences, while working as part of a high-performing and supportive team.

This is a full-time permanent role based at our Melbourne Campus, Bupa’s Exhibition Street offices.

Representing the Property team, you will also support, troubleshoot any facilities management issues onsite and coordinate all external visitor and contractor requirements as per the Property guidelines and policies. Including ensuring the workplace is a safe and also maintained to a high standard.

How will I make an impact?

Key responsibilities include:

  • Act as a true ambassador and advocate for Bupa’s APAC Campus - meet and greet learners, facilitators and visitors highlighting on-site campus features & facilities.
  • Support facilitators in being ready to deliver and manage on-site and hybrid learning events, training, assisting with catering set-up, pack away, break-out sessions and delegate management.
  • Coordinate and oversee room bookings within Campus - lead the planning process before events, ensuring appropriate rooms are booked for upcoming workshops, running an inventory across the rooms to ensure each are appropriately stocked for relevant materials and technologies.
  • Manage room setups, catering requirements, and special requests for learning events / workshops / townhalls held within Campus.
  • Complete administrative and operational tasks for Campus physical space as set by the Strategic Campus Lead APAC and in line with Campus procedures, to ensure successful delivery and seamless participant and facilitator experience of the face-to-face workshops on campus.
  • Managing AV first point of call trouble shooting onsite, while working closely with the Tech/AV team to ensure services are provided on-time and to a satisfactory manner, communication and program management with the Tech and Campus Team to ensure readiness for events.
  • Work with Property across the workplace in Melbourne when required to deliver support and services to all of our teams and spaces
  • Closely monitor feedback and adopt a continuous improvement approach to address any issues.
  • Work with approved external partners such as caterers, additional catering / barista staff, external facilitators and manage these relationships on behalf of Bupa Campus team & Property.
  • Oversee & maintain the APAC Campus information site (Workvivo) with latest information on events, bookings, procedures etc.

What do I need?

You will be creative, an energetic team player with excellent client service, communication, and attention to detail. An ability to deal with a variety of issues concurrently as well as the capability to work under pressure with limited supervision is essential.

In addition, you’ll bring to the role:

  • Experience in an event or hospitality environment highly regarded
  • Strong multitasking, and communication skills essential
  • Strong customer-focus and hospitality mindset.
  • Understanding or experience in Workplace management for services in an office environment
  • Ability to learn and support Audio Visual trouble shooting and support for end users
  • Proficient in use of Windows, Microsoft Outlook, Word, PowerPoint & Excel.
  • Demonstrated organisational & time management skills.
  • Demonstrated ability to work autonomously and as part of a team.
  • Self-motivated with demonstrated decision making and problem-solving abilities.
  • A strong commitment to continuous improvement.
