About the Role
We are seeking an experienced and highly organised Executive Assistant to provide executive-level support to the Chief Corporate Affairs & Sustainability Officer, within a complex and fast-paced global business environment.
This 12-month maternity leave cover is a key position that plays an integral role in enabling the success of the Corporate Affairs & Sustainability function at Bupa. Working closely with the Leadership Team and key internal and external stakeholders, you will help foster a dynamic, efficient, and collaborative working environment that aligns with Bupa’s values and strategic priorities.
This is a hybrid role, based in Melbourne, offering the flexibility to work remotely while remaining connected to our vibrant office environment.
Key Responsibilities
- Provide high-level executive support to the Chief Corporate Affairs & Sustainability Officer, ensuring day-to-day operations run smoothly and strategically.
- Manage a complex and dynamic calendar across multiple time zones, prioritising conflicting demands, and coordinating meetings, events, and functions.
- Act as the first point of contact for the Officer, triaging communications and requests, managing email traffic, and ensuring timely and accurate responses.
- Coordinate all aspects of domestic and international travel, ensuring efficiency, adherence to travel policies, and maximum productivity.
- Prepare and distribute agendas, reports, presentations, and minutes for meetings; ensure timely follow-up of action items.
- Develop and deliver internal communications on behalf of the Chief, helping maintain alignment and engagement within the broader team.
- Support team initiatives, including offsites, workshops, recognition programs, and social events, fostering a positive team culture.
- Maintain oversight of financial administration: reconcile credit cards, process invoices, track expenditures, and ensure alignment with budget requirements.
- Collaborate closely with the wider Executive Assistant team, contributing to a cohesive support network across the business.
- Maintain strong relationships with senior leaders, assistants, board members, governance teams, and external partners.
- Ensure confidential and sensitive matters are handled with the highest level of discretion and professionalism.
- Contribute to continuous improvement efforts, supporting the implementation of new systems, processes, and best practices.
- Undertake ad hoc administrative tasks, special projects, and communications support as required by the Chief Corporate Affairs & Sustainability Officer or the broader team.
About You
You are an accomplished and proactive Executive Assistant with a proven track record of supporting C-suite executives in large, complex, and fast-paced environments. You bring a high level of professionalism, sound judgment, and a genuine commitment to organisational excellence.
Your ability to anticipate needs, manage competing priorities, and build trusted relationships makes you an invaluable partner to senior leaders. You are composed under pressure, highly adaptable, and consistently maintain confidentiality and discretion.
Specifically, you will bring:
- A minimum of 5 years’ experience supporting senior executives, ideally in global or matrixed organisations.
- Outstanding organisational and time management skills, with a strong ability to prioritise and manage multiple deadlines.
- A high degree of initiative and responsiveness, with a demonstrated ability to work autonomously and make sound decisions.
- Strong verbal and written communication skills, including experience drafting executive-level documents, reports, and presentations.
- Proven experience managing sensitive and confidential information with the utmost discretion.
- A strong customer service orientation and a proactive, collaborative mindset.
- Exceptional interpersonal skills and confidence in building and maintaining relationships with stakeholders at all levels, including senior executives, board members, and external partners.
- High attention to detail and accuracy in all tasks, especially document preparation and financial administration.
- A flexible and agile approach to work, thriving in a fast-moving and evolving business landscape.
- Demonstrated ability to navigate complex organisational structures and work effectively within cross-functional teams.
Technical Skills Required:
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams).
- Experience with Workday, Serko, Coupa, and ExpenseMe is highly desirable.
- Strong general technology skills, with the ability to troubleshoot minor IT issues and confidently use digital tools.
