We are seeking an experienced and highly professional Executive Assistant to support the Managing Director, Health Insurance, in a 12-month maternity leave cover. This pivotal role provides executive-level support in a complex, fast-paced environment and is instrumental in ensuring the smooth and efficient operation of the Office of the MD and the Health Insurance Leadership Team (HILT).

About the Role

As Executive Assistant, you will provide high-level administrative and strategic support to the Managing Director, acting as a trusted advisor and first point of contact. This includes managing a dynamic calendar and email inbox across multiple time zones, preparing executive-level communications and reports, and coordinating complex meetings and travel arrangements.

You will also contribute to broader initiatives across the Health Insurance business, lead and collaborate within the EA network, and help embed a positive and high-performing team culture. Your ability to operate with discretion, adaptability, and strong commercial acumen will be critical to success.

Key Responsibilities

  • Provide high-level, proactive support to the MD, including diary, inbox, and correspondence management
  • Coordinate and manage internal and external meetings, travel arrangements, and events
  • Draft, review, and proofread reports, presentations, and key communications
  • Act as a liaison between the MD and internal/external stakeholders, including the global leadership team
  • Support the preparation and facilitation of regular leadership meetings, including logistics, agenda setting, and minute taking
  • Assist with budget tracking, invoicing, and expense management
  • Lead collaboration within the Executive Assistant network and provide guidance to team assistants
  • Support delivery of special projects and business initiatives as required
  • Work closely with Chief of Staff to support the HI Managing Director on key programs and priorities

About You

You are a highly organised and adaptable professional with a proven ability to manage competing priorities in a dynamic environment. You demonstrate sound judgement, strong attention to detail, and the ability to communicate effectively across a broad stakeholder group. You thrive in fast-paced, transformative settings and bring a collaborative approach to everything you do.

Skills & Experience

  • Extensive experience supporting senior executives, ideally within a large or complex organisation
  • Excellent written and verbal communication skills, with a strong attention to detail
  • High level of discretion and professionalism when dealing with confidential matters
  • Demonstrated ability to manage multiple stakeholders and competing demands
  • Strong stakeholder engagement and relationship management skills
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)
  • Experience with Coupa or similar systems is advantageous
  • Strong commercial acumen and experience with budget oversight and expense management
