About the Role:
Bupa’s Health Services business unit brings to life Bupa's purpose of helping people live longer, healthier, happier lives. Through a diverse portfolio of healthcare businesses including Optical, Hearing, Dental, Mindplace, Bupa Medical, ADF Health Services and Bupa Medical Visa Services (BMVS), Health Services delivers care and support to millions of customers across Australia.
As part of this portfolio, BMVS delivers visa and migration medical services on behalf of the Department of Home Affairs. Through a network of Bupa-operated medical centres and accredited partner clinics across Australia, BMVS provides immigration medical examinations and related services to more than 500,000 visa applicants annually, supporting Australia's migration program.
The Contract Support Coordinator plays a key role in supporting the effective management and successful delivery of the BMVS contract. Working closely with operational, commercial and leadership teams, the role coordinates contract reporting, governance activities, stakeholder engagement and administrative processes to ensure contractual obligations are met and service outcomes are delivered to a high standard. As a central point of coordination across the business, the role drives accountability and contributes to the successful delivery of contract objectives.

Responsibilities include:
- Coordinate day-to-day administrative activities associated with the BMVS contract.
- Monitor and manage incoming correspondence from Home Affairs, ensuring enquiries, requests and actions are appropriately recorded, allocated and tracked to completion.
- Maintain accurate and auditable contract records, registers, action logs, governance documentation and document repositories.
- Support the administration of contract deliverables, reporting schedules, variations, change requests and contractual documentation.
- Coordinate meeting logistics and provide administrative support for governance forums, including agendas, meeting packs, minutes and action tracking.
- Maintain contract dashboards, trackers and reporting tools to support visibility of contractual obligations and deliverables.
- Coordinate the collection and consolidation of information required for monthly, quarterly, annual and ad hoc reporting obligations.
- Liaise with operational, quality, finance and other business teams to ensure reporting inputs are received accurately and on time.
- Support the preparation, review and submission of reports provided to Home Affairs and internal stakeholders.
- Assist with reporting relating to operational performance, customer complaints, incidents, quality outcomes and other contractual measures.
- Support annual reporting processes, including the BMVS Annual Report
- Identify opportunities to improve reporting processes, accuracy and efficiency.
What you’ll need to make it possible:
- Experience in a contract administration, coordinator, project or commercial support role.
- Strong organisational and time management skills with the ability to manage multiple tasks and competing priorities.
- Strong written and verbal communication skills.
- Ability to build effective working relationships across a broad stakeholder group.
- Experience in healthcare, government, professional services or another regulated environment.
- Exposure to contract administration, governance, reporting or compliance activities.
- Tertiary qualification, or working towards a qualification, in Business, Administration, Health, Commerce, Public Policy or a related field.
- Experience coordinating reporting, meetings, stakeholder communications or business support activities.
